Zapier, Make or n8n: which one should we use?
Zapier for breadth of connectors and simplicity, Make for visual data transformation, n8n for self-hosting and custom logic. The honest answer depends on your volume, your team's skills and where your data lives. We pick with you, and we are not tied to any vendor.
When does automation need real code?
When volume, branching rules, data quality or latency exceed what a visual builder handles well, or when a failure would cost money. Typical signs: a scenario with dozens of steps, retries done by hand, or a Zap nobody understands anymore.
Can you fix the automations we already have?
Yes. We audit what runs, what fails and what nobody uses, then consolidate. Some scenarios are kept and documented, some rebuilt, some retired. The goal is fewer, clearer automations with an owner.
Where does AI fit in automation?
In the steps that need judgement on unstructured input: classifying an email, extracting fields from a document, drafting a reply. We put a model in that step, with a human review where the risk requires it, and keep the rest deterministic.
How do you avoid lock-in?
By keeping the data model outside the automation tool, documenting every workflow, and preferring standard interfaces such as webhooks and APIs. Switching tools then means rebuilding steps, not rethinking the business.
